Island Fire & Safety is a small, locally owned safety training and equipment company based in Sitka, Alaska. This policy explains what information we collect, how we use it, and how we protect it. We keep things simple because we don't do anything complicated with your data.
What We Collect
When you use our contact form, we collect your first and last name, email address, phone number (optional), the service you're inquiring about, and your message. When you register students for a CPR or First Aid class, we collect student names, email addresses, and employer or organization name for certification processing.
We also use Google Analytics to see how the site is being used. It tells us things like which pages people visit, whether they found us through a search engine or our Google Business Profile, and whether they are on a phone or a computer. It also records when someone taps our phone number, sends the contact form, or clicks through to check out.
This is counted in aggregate. We see that a page got 40 visits, not who those visitors were. Google Analytics uses cookies to do this, and Google collects your IP address as part of it. We use it to figure out which parts of the site are working and which need fixing. We do not use it for advertising, and we do not sell or share what it collects.
If you would rather not be counted, you can install Google's opt-out browser add-on, turn on your browser's Do Not Track or blocking settings, or use private browsing. The site works exactly the same either way. Beyond Google Analytics, we do not use advertising trackers or third-party marketing tools.
How We Use It
Contact form submissions are used to respond to your inquiry. We may follow up by email or phone, but we won't add you to a mailing list without asking.
Class registration information is used to send confirmation emails and to submit student records to HSI (Health & Safety Institute) for certification purposes. This is required to issue your official certification card.
Payment Data
Online payments are processed by Square. Island Fire & Safety never sees, receives, or stores your credit card number or payment details. Square's privacy policy governs how they handle payment data.
Red Tag, The App We Use For Inspections And Billing
Red Tag is our own app. Travis Miller, owner of Island Fire & Safety, created it to run our fire extinguisher and AED inspections, reports and billing. It isn't software we rent from another company, and nobody else uses it. Your records are kept in accounts Island Fire & Safety owns, with the service providers listed below.
If you're a customer, or someone at a customer's business who gets our reports or bills, this section is about you.
What Red Tag Keeps
- Your business name, the addresses where we service equipment, and the names, emails and phone numbers of the people who get your reports, reminders or bills. Often we add these people ourselves, because your business asked us to send them paperwork.
- Your equipment: what it is, make, model, serial number, where it is in the building, and its service dates.
- Inspection results, any problems we found, and photos of equipment labels.
- A signature, if someone signs for an inspection on site.
- Invoices and payments. If you pay by card, Square handles the card. We keep the amount paid and Square's reference number for it. We never see or store your card number.
- If your business is tax exempt, the type of exemption and the certificate number, so we can bill you correctly.
- Requests you send us: a callback, a day that works for a visit, or accepting a quote.
- Whether each email we sent you was delivered, bounced, or marked as spam. We do not track whether you open our emails or click the links in them.
What We Do With It
To inspect and service your equipment, send your reports and reminders, bill you, and keep your equipment's service history. We don't use it for advertising, and we don't sell it or share it for marketing.
The Customer Portal
Customers can sign in online to see their own equipment, reports, invoices and quotes. To sign in, we email you a link. It keeps you signed in for 30 days on the device you open it with. You only see the records for your own account. You can turn reminder emails off from the portal.
Who Else Handles It
Red Tag runs on a few outside services. Each one only gets what it needs to do its part:
- Supabase stores the records and handles portal sign-in.
- Vercel hosts the app.
- Resend sends our emails and lets us know if one bounced.
- Square processes card payments.
- Anthropic, the company that makes Claude, reads photos of equipment labels so we don't have to type the details in by hand.
- Photon, an address search built on OpenStreetMap, suggests addresses as we type them.
Red Tag doesn't use analytics or advertising trackers. If the app runs into an error, it sends us a short technical note saying what went wrong and on which screen. It doesn't send your records.
How Long We Keep It
We keep inspection and service records permanently. They're the service history of your equipment, and you or a fire inspector may need them years after the visit. Your reports say the same thing at the bottom. We keep them electronically, which NFPA 10 allows. Billing records we keep as long as we need them for our taxes and our books.
Your Choices
You can ask us to correct your information, remove a person from your account, or stop sending emails to someone.
If you ask us to delete your information, we'll remove your name and contact details. Inspection and billing records for the equipment itself stay, because they're the equipment's service history and our tax records. To ask, use the contact details at the bottom of this page.
We Don't Sell Your Data
We do not sell, rent, or share your personal information with third parties for marketing purposes. We share it only where it's needed to do the work: with HSI for certification records, which is necessary to complete your course enrollment, and with the service providers listed in the Red Tag section above.
Data Retention
Contact form inquiries are kept until the inquiry is resolved. Class registration records are retained as long as needed for certification compliance and to respond to recertification questions. You can ask us to delete your contact information at any time.
